The Dynamic Reimbursement feature allows you to base employee compensation on actual, hourly energy market prices.
Key prerequisites:
E-Flux by Road Business package
This feature is currently only available in the Dutch market.
Employee Contract: the employee must have a dynamic/variable energy contract at home.
Information required: employers must get information from their employee regarding additional surcharges (extra fees billed by the energy supplier).
For new employees
Follow these steps to set up the dynamic rate while inviting a new employee to register their charging station:
First check whether you have an E-Flux by Road Business package. Dynamic reimbursement is only available within this package and currently only in the Dutch market; without a Business package, you will not see this option in your dashboard.
Navigate to "my locations" within the platform.
Click the "invite employee" button.
Select the dynamic tariff option.
Set surcharges (energy market price surcharges):
Enter your fixed additional fee per kWh. This consists of your energy supplier's delivery costs and the energy tax. This is added on top of the dynamic energy rate (EPEX).
Enter the applicable VAT percentage. This VAT rate is added on top of the total price (dynamic energy rate plus variable surcharge per kWh).
Set backup tariff:
Enter a fixed rate (price per kWh) as the reserve tariff. This is automatically used when dynamic pricing data is unavailable or when the price is €0.
Complete the remaining employee information.
The employee will then receive an invitation email to finalise the registration process.
For existing employees
To switch an existing employee's reimbursement from a fixed rate to a dynamic tariff:
First check whether you have an E-Flux by Road Business package. Without this package, the dynamic tariff option is not available in the pricing settings.
Navigate to my locations.
Go to "employees locations" (or the corresponding charging station configuration screen) and navigate to "pricing settings".
Click the edit or settings icon next to the employee's station. Then click "edit" on the corresponding station.
Select the "dynamic tariff" option.
Click edit or settings next to the employee's station.
Enter the fixed additional fee (e.g., delivery costs) into the surcharge (€) field.
Enter 21 in the "percentage surcharge" field (applied to kWh price) to account for VAT, as VAT is applied via the surcharge on the dynamic tariff.
Set a backup tariff:
Enter a fixed rate (price per kWh) as the reserve tariff.
Save the changes to activate the Dynamic Reimbursement.
FAQ
Can employees see their hourly energy prices?
Yes, under Charging Station → Configuration, employees can view a breakdown of the hourly energy prices used for reimbursement.
If the energy prices are negative, will I actually receive money for charging my EV at home under dynamic reimbursement?
No, you will not receive money for charging. While energy prices can occasionally be negative, meaning suppliers would theoretically pay for consumption, in the context of dynamic home charging reimbursement, we apply a minimum energy tariff of €0.00/kWh. Additionally, a surcharge defined by the employer is always added on top of the energy cost to fairly compensate the station owner.
Can an employee reject or challenge a surcharge?
No, surcharge and backup fees are managed by the employer and cannot be edited or declined by the employee on the platform.
Is Road responsible for verifying the energy contract type?
No, it is the employer's responsibility to ensure the employee is on a dynamic energy contract when enabling this feature.
What if I don't have a Business package?
Then the dynamic tariff option is not visible in your dashboard. Contact support or your account manager to upgrade to the Business package.
Can you show an example of the calculation?
Market price per kWh: 0.113 – hourly rate
Surcharge per kWh: 0.1015 – fixed surcharge to cover energy tax and delivery costs
Surcharge %: 21 – percentage surcharge to cover VAT paid by the employee
Reimbursement amount = (market price + fixed surcharge) × percentage surcharge
(0.113 + 0.1015) × 1.21 = 0.2595
